Why SMS stopped working

Every school has the same evidence: a fee reminder goes out by SMS, the delivery report says delivered, and the fees do not come in. The message landed in a folder nobody opens. The front office then spends a fortnight on the phone, calling numbers that go unanswered because they are not saved.

WhatsApp is where those parents already are. The difference is that WhatsApp is not a broadcast channel you can shout into — it is a conversation, with rules about what you may send, how fast, and to whom. That is the part SaarFlow handles for you.

Your ERP already knows who owes

The fee software knows which parents are behind, and by how much. It does not need to learn WhatsApp to tell them — it posts the list to SaarFlow's API, and SaarFlow sends the approved template at a pace WhatsApp accepts, with a delivery report back for every row. No Meta token ever leaves this server.

Paced, not dumped

WhatsApp limits how many business-initiated conversations a number may open in a day. SaarFlow sends inside that limit, pauses when the day's allowance is gone, and resumes by itself the next morning.

"I paid last Tuesday" arrives in the shared inbox as a normal chat, with the child's name attached, for the accounts clerk to answer — not into a void.

Every enquiry from a Click-to-WhatsApp ad or the school website becomes a lead with the class applied for, the parent's name and the ad that produced it. Counsellors own their enquiries, follow-ups appear on screen, and the principal can see how many applications each campaign actually produced — not how many clicks it bought.

The rest of the year

Fee reminders, attendance alerts, exam schedules, holiday notices and transport changes — sent from your existing software through the API, or by the office from the Campaigns screen. Every send is logged, every delivery reported, and a parent who opts out is never messaged again by anything.

Children's data stays scoped

Parent numbers and names belong to your organisation alone, encrypted in transit and at rest, and exportable or deletable on request from an administrator.

Can our existing fee or ERP software send the messages?

Yes — that is what the API is for. Your system posts the list of parents and the values for each one; SaarFlow sends an approved template on your number and reports back what happened to every single row. Your software never holds a Meta token and never has to understand WhatsApp. See the API documentation.

Do parents have to save our number first?

No. A message from a WhatsApp Business number reaches a parent whether or not they have saved it, and it shows your school's verified name rather than a bare number — which is most of the reason it gets read when an SMS does not.

What stops us being blocked or marked as spam?

Three things. Sends are paced inside WhatsApp's daily limit rather than dumped. Notices go as utility templates, which are what this kind of message is meant to be. And opt-outs are permanent and enforced in the server, so a parent who asks to stop is never messaged again by a campaign, the API or anything else.

Can we send to a parent who has two children in the school?

Yes, and you decide. Send one message per child, each with its own values, or let your software combine them into a single message. Because the list is built by your system, it works the way your school already thinks about families.

How quickly can 2,000 messages go out?

That depends on the daily conversation allowance Meta has given your number, which grows as your number builds a good history. SaarFlow sends up to that allowance, pauses, and resumes automatically the next day — so a large run completes without anyone watching it or risking the number.

What does it cost for a school?
